Privacy notice

This notice explains how X-Ploy handles public-site, CRM, and technician mobile app data.

This privacy notice applies to X-Ploy public websites, CRM products, client and service workflows, and the X-Ploy Technician mobile app. It was last updated on April 27, 2026.

Tenant businesses using X-Ploy may also provide their own customer, employee, and workplace notices. If you use X-Ploy through your employer or service company, that organization controls many account, job, customer, and retention decisions.

Information we collect

We collect account and tenant information such as names, email addresses, user roles, company details, authentication state, permissions, and support or onboarding messages.

We collect service CRM information such as customers, contacts, vessels or assets, service addresses, appointments, work orders, parts, notes, photos, invoices, communication history, and operational activity needed to run service workflows.

The technician mobile app may collect technician job activity such as schedules, clock-in and clock-out events, on-site/off-site/parts-run time segments, appointment notes, uploaded photos, photo metadata, and related job context.

Location data

The technician mobile app may use precise location while a technician is clocked in, working an appointment, or using route and job-status features. Location supports clock evidence, route and ETA workflows, arrival and departure prompts, job-site verification, and time segmentation.

Location is not used for advertising, cross-app tracking, or sale of personal information. Technicians can control location permissions through iOS settings, but tenant workflow may require Location Services and Always Allow while a technician is on shift or actively working. If required shift location is disabled or restored, the app may record office-visible compliance events so administrators can support the workflow and investigate gaps.

Photos, notes, calls, and messages

Technicians may attach job photos and notes to appointments or work orders. Photos may include capture metadata such as timestamp, device details, and location metadata when available and permitted.

Customer texts and calls made through X-Ploy workflows are company-routed through configured providers such as Twilio and RingCentral. The technician app does not open the technician's personal SMS app or native outbound dialer for customer communication.

Company-routed calls may be logged, recorded, transcribed, summarized, or used for AI-assisted notes when the tenant has configured those workflows and applicable consent or business rules allow it.

Technical and diagnostic data

We may process device, app, network, and request metadata such as app version, device type, IP address, user agent, timestamps, API paths, delivery status, sync state, and error information for security, troubleshooting, abuse prevention, and reliability.

If crash reporting, diagnostics, or TestFlight feedback is enabled, Apple or configured service providers may process diagnostic information according to their own platform terms and privacy practices.

How we use information

We use information to provide dispatch, CRM, technician mobile, messaging, calling, route, timekeeping, invoicing, reporting, support, security, audit, and tenant administration features.

We also use information to maintain service records, investigate operational issues, prevent misuse, improve reliability, support customer and technician workflows, and comply with legal, contractual, tax, employment, and accounting obligations.

Sharing and service providers

Information may be visible to the tenant business, authorized administrators, assigned technicians, office staff, and other authorized users according to their roles and permissions.

We use service providers for hosting, infrastructure, email, messaging, calling, payments, analytics or diagnostics if configured, maps or routing, authentication, and app distribution. Providers may include platforms such as Apple, Cloudflare, Twilio, RingCentral, Postmark, Stripe, Jobber, and mapping providers when those integrations are enabled.

We do not sell personal information or use technician location data for third-party advertising.

Retention and security

Operational records are retained for as long as needed to provide the service, support tenant business operations, maintain audit trails, resolve disputes, comply with legal obligations, and preserve accounting, employment, safety, and customer-service history.

We use technical and organizational safeguards designed to protect data, including access controls, role-based permissions, encrypted transport, and provider security controls. No system can be guaranteed to be completely secure.

Choices and requests

Technicians can manage device permissions such as location, camera, photos, and Face ID through iOS settings. Tenant administrators can manage authorized users, roles, and business records through the CRM.

Customers and technicians may contact the relevant tenant business or X-Ploy through https://x-ploy.com/support for privacy questions, correction requests, deletion requests, or other rights available under applicable law. Some records may need to be retained for legal, audit, accounting, security, or service-history reasons.

Product terms are available at https://x-ploy.com/terms. For the iOS first release, Apple's Standard EULA applies unless App Store Connect later lists a custom EULA.

Children and updates

X-Ploy is intended for business use and is not directed to children.

We may update this notice as products, providers, laws, or workflows change. The latest version will be posted on this page.
